KEY RESPONSIBILITIES:
Reception:
? Operate switchboard properly and ensure calls are directed to the appropriate person.
? Greet visitors in a friendly and professional manner.
? Monitor meeting room conditions and make effective arrangements to maximize usage.
? Update the internal telephone directory on a monthly basis.
? Coordinate onboarding and offboarding procedures, including seating, telephone, access badge, etc.
? Monitor and control access to the main entrance and cargo door.
? Perform reception duties in a punctual and responsible manner.
Administrative service:
? Coordinate with cleaning staffs to provide professional cleaning service.
? Register and distribute all staff deliveries.
? Monthly expense settlement.
? Place orders for office stationery.
? Arrange for the supply of snacks and refreshments.
? Coordinate business card printing.
? Arrange for the production of company chops (seals).
? Place annual orders for newspapers and magazines.
Repair and maintenance office equipment:
? Ensure that office equipment such as water dispensers, coffee machines, and other admin facilities are in good working condition.
? Coordinate repairs promptly and efficiently.
Experience:
At least 1-2 years relevant experiences in MNCs.
Skills required:
? Oral and written English and Mandarin is a must;
? Strong communications skills;
? Good command of MS Office software.
